In practice
A service company with vans and a few tachograph vehicles brought its entire fleet onto one screen: tracking, remote tacho and trip logging. Nobody there manages the fleet full time; the reports arrive by email automatically.

What is recorded for each trip

Watertight means every trip, with no gaps and all the required details. The tracker logs each trip automatically, so gaps cannot occur.

  • Date of the trip
  • Odometer reading at the start and end
  • Departure and arrival address
  • Business, commute or private: the driver selects this in the app, at the time of the trip, not weeks later at the office

A 500 km counter shows how many private kilometres are left throughout the year, and the monthly report is ready every month. For the 7-year retention requirement, a tax archive keeps your trips for that long.

Tracking for the whole fleet

  • Live map with the status of every vehicle: driving, stationary or parked.

Your drivers' privacy

As soon as you know who is driving, a vehicle's position is personal data. The driver decides which trips are private, and the app does not track the phone in the background: the tracker is in the vehicle. Frequently asked questions

When don't I pay company-car tax?

Under Dutch rules: if you can show that you drive no more than 500 private kilometres per calendar year. You provide that proof with a watertight trip log. Without a trip log, the full company-car tax (bijtelling) applies.

What must a watertight trip log contain?

For each trip: date, odometer reading at the start and end, departure and arrival address, deviations from the usual route and whether the trip was business or private. The readings must connect from trip to trip, without gaps.

Who indicates whether a trip was private?

The driver does, for each trip, in the app: business, private or commute. The 500 km counter shows how many private kilometres are left in the calendar year.

How long do I have to keep the trip log?

7 years, just like the rest of your records. The tax archive keeps your trips for exactly that long.

Our people switch vans every day. Is the log still accurate?

Yes. With driver identification, everyone signs in with a card or key fob; every trip is linked to the right person, however often they switch.
